Planning Timeline Guide

How Far Ahead Should You Plan an Incentive Trip?

Strong incentive programs start earlier than most companies expect. This timeline reflects how a typical group program comes together, from first conversation to post-trip review.

  1. 12 to 18 months out

    Define goals and budget

Clarify what the program needs to accomplish: rewarding top performers, building team culture, or hosting an executive retreat. Set a per-person budget and an approximate headcount so destination options stay realistic.

  2. 9 to 12 months out

    Select destination and property

Compare destinations and properties against group size, season, airlift, and the experience you want attendees to remember. Contracts, room blocks, and group rates are negotiated at this stage.

  3. 6 to 9 months out

    Build the program

Shape the itinerary: group activities, private events, dinners, meeting space, and free time. Communicate the trip to qualifiers so excitement and attendance build early.

  4. 3 to 6 months out

    Manage registrations and logistics

Collect traveler details, coordinate flights, confirm dietary and accessibility needs, and finalize event orders with the property. Guests receive clear travel documents and schedules.

  5. Final 90 days

    Confirm and execute

Final counts go to the property, rooming lists are locked, and on-site details are confirmed. During the trip, your group has a dedicated point of contact for anything that comes up.

  6. After the trip

    Review and plan ahead

Gather attendee feedback, review what worked, and start the conversation about next year's program while the experience is fresh.
